A house is easy. The cleaner pulls into the driveway and knocks on the door. An apartment can be a maze: a gate, a call box, a parking lot with numbered spots, five buildings that all look the same and a third-floor unit at the end of a breezeway. In How to Get Your Apartment Ready for a Cleaner we touched on entry details. This guide goes deeper so your cleaner can get to your door without a single phone call.
The gate
Many apartment communities in North Texas are gated. Your cleaner needs a way through.
- Gate code: if your community uses a keypad code, share it with us. Some communities let residents create a personal guest code.
- Call box: if visitors dial your unit, make sure you can answer and buzz us in, or ask the office about a guest code.
- App-based gates: many newer systems let you send a guest pass from your phone. Ask the office whether you can set up a recurring pass for regular visitors.
- Staffed gate: let the front office or gate attendant know that a cleaner is coming, and when.
If the gate code changes, tell us as soon as you can so we can update your entry notes.
Parking
Parking is often the biggest headache. Many communities have assigned or covered spots for residents, and limited guest parking. Some tow cars without a guest permit.
- Tell us where guest parking is, and whether we need a parking pass.
- If you have a second assigned spot, let us know if we can use it.
- Leave a guest permit in a spot we can reach, if your community uses physical passes.
- Mention any lots or areas to avoid, like fire lanes or reserved spots.
Finding your building and unit
Large complexes can be confusing. A few details help us find you fast:
- Your building number and unit number.
- Which entrance or stairwell is closest to your unit.
- Whether there is an elevator, and if it needs a key fob.
- Any landmarks, like "past the pool, second building on the left."
A site map from your leasing office or a screenshot of your community map is very useful for the first visit.
If your unit is on an upper floor, mention it. Cleaners carry a vacuum, a mop and a caddy of supplies, so knowing whether there is an elevator or three flights of stairs helps us plan where to park and how to load in. If the closest stairwell is locked or under repair, a heads-up saves a long walk around the building.
Getting into the unit
Once we are at your door, we need a way in. Common options include:
- You are home to let us in.
- A door code on a smart lock.
- A lockbox with a key inside.
- A key left with a neighbor or the leasing office, if your property allows it.
- An app-controlled lock that you open from your phone when we arrive.
Pick whatever works best for you. Our entry notes, including keys, lockboxes, door codes, pets and rooms to skip, are kept on file, so you only have to explain it once.
Building rules and quiet hours
Some communities have rules about vendors or service providers, like hours when vacuuming is allowed, or a requirement that guests check in with the office. If your building has any of these, let us know. We will plan the visit around them.
It is also worth checking whether your community requires service providers to be registered with the office or listed on a guest log. Some properties ask residents to fill out a short form. Doing it once up front means nobody gets stopped at the gate on cleaning day.
The arrival text
Before every visit you will get a text when your cleaner is on the way. If anything has changed, like a new gate code or a different spot to park, that is a good time to reply with the update. It is also a nice heads-up if you are working from home and want to be ready to buzz us in.
Keep your notes current
Apartment details change more than you think. Gate codes get reset, parking rules get updated and smart locks get new batteries. When something changes, send us a quick note so your entry notes stay accurate. We clean in gated communities across Waxahachie, Midlothian, Mansfield and the south DFW area, and a little detail up front makes every visit go smoothly.
A short checklist in your notes works well: gate code, guest parking spot, building and unit number, how to get in, pets and rooms to skip. If you are home for the first visit, you can walk us through it once and we will take it from there. After that, most recurring visits happen without a single phone call.
